Q:   Where can I find your billing information?

A:   Our billing information is available here.


Q:   What should I include in the invoice?

A:   In order for us to accept your invoice and to subsequently pay it, the invoice itself has to meet some basic legal requirements. The main thing is that you send your invoice via e-mail in PDF or JPG forma, as we cannot accept invoices in any editable form (e.g. MS Word or MS Excel). The invoice has to contain at least the following obligatory information:


•    invoice number
•    issue date
•    due date
•    billing information of the supplier (name, address, company identification details as for example ID and VAT ID)
•    billing information of TOP PREKLADY (including ID, VAT and VAT ID)
•    reference number of the corresponding tasks
•    the costs of the corresponding tasks
•    signature or, if the client is in possession of one, a stamp impression


Q:   How will I know the reference number of the task that I am currently working on?

A:   You can find it in the subject of the e-mail, if not, please let us know. Also, each name of each file for translation contains the reference number right at the beginning. So if it is possible, do not rename the files.

Q:   What due date of the invoice should I provide?

A:   We try to pay the invoices as soon as possible. Ideally allow for at least 20 days before we can pay the invoice. When issuing and invoice, please take into consideration that the date of issue does not come before the deadline and that there is plenty of time between the due date and the date when we actually receive the invoice.

Q:   How often should I issue invoices?

A:   From an administrative point of view it is best for both sides if you would issue invoices just once a month. If it would suit you or if we do not owe you a significant amount of money or if you didn’t have as many tasks to fulfill, feel free to issue an invoice just once for every few months.

Q:   Why do you need my bank account details? Can't you just simply send the money to my PayPal account which I stated in my invoice?

A:   If you are a translator who lives in the European Union, we prefer payment via transfer to your bank account rather than PayPal. However, if you live outside of the European Union a transfer to your bank account would include additional costs for us, so in this case we can use your PayPal details to settle the payment.
